This glossary is a work in progress.

Audience (Lottery)

A collection of learners defined by an admin, that will be scheduled by the lottery processing. Learners may be added individually, as a cohort, or any combination of the two, so long as they are available to the curriculum period and any courses specified for the lottery.

Block

A block is a period of time in a rotation and is represented by a start and end date. Each block is instantiated from a block template defined for the curriculum period. Blocks have a block type that represents the generic period of time, such as one week, two weeks, four weeks, and so on.

Block Template

A block template is defined in the curriculum layout for a specific curriculum period. It specifies a generic period of time that can be used when creating rotations. Multiple block templates can be created for each block type.

Block Type

Block types are generic definitions of a period of time, used in automatically generating block templates. Example Block Types would be one week, two week, and four week. When defining the block type, the number of weeks and the number of times that block would occur in a year are included. For example, a block type of four weeks would represent a time period of four weeks and would reccur 13 times if your curriculum period spanned a one year timeframe.

Booking

Learners assigned to slots are said to be in booked into the slot. When this is done, there is an option to customize the start and end date in case the dates do not line up with the dates of the block.

Clinical Event

For a learner assigned to a slot, clinical events can be created that will contain the granular schedule for that learner within that block. So for a two-week booking, the clinical events will detail who the learner will be working with, where they will be working, at what date and time.

Curriculum Layout

A curriculum layout represents the largest chunk of time used to organize teaching and learning activities (e.g., semester, term, year, module). It is configured per organization. Layouts are used when you create courses to define where a course belongs in an organizations complete curriculum.

Curriculum Period

A curriculum period is a specific iteration of a curriculum layout. It represents the timeframe for a group of learners to be involved in specific experiences.

External Assessor

An external assessor is a user that tasks can/have been sent to through the Assessment and Evaluation module but who does not have an Elentra account.

Learner

A single audience member.

Lottery

A container which defines the audience, and various stages that will be executed in order to produce a draft rotation schedule.

Off-Cycle

Off-cycle may refer to a learner who began their education with a specific cohort but for whatever reason (e.g., medical or military leave, remediation, etc.) is now completing courses with another cohort of learners.

Off-Service

Off-service typically refers to post-graduate learners who complete clinical rotations away from their home program. For example, a learner who is a resident in a pediatrics program may complete rotations in surgery and be hosted by the surgery program. In this case the learner's home program is pediatrics and while completing their surgery rotation they are 'off-service'. Elentra supports off-service scheduling and can send distributions to off-service learners across programs.

*In the Clinical Experience > Rotation Schedule, if a learner has been removed from a course enrolment they will display with an 'off-service' label applied to them. That label really means they are inactive or withdrawn from the course the rotation is a part of.

Option (Lottery)

An ordering of one or more clerkship blocks, also known as a stream, track, grid, or group. Selections are defined by an administrator, and later ranked by learners in order of their preference. If a stage is set to “Singular” mode, each Selection will have one block each, whereas with “Sequential” mode, each selection can contain numerous blocks in varying order.

Rotation

A rotation consists of a set of blocks, that define start and end dates where learners can be booked.

Rotation Schedule

A rotation schedule is a course and curriculum period specific group of rotations. A rotation schedule can have a status of draft or published.

Site

Defined in Manage Locations (Site>Building>Room). Sites can be applied to rotation slots.

Slot

Blocks of a rotation may have one or more slots, which contain information about how many learners can be booked and where.

Stage (Lottery)

The executional unit of a lottery responsible for transforming learner input into a partial rotation schedules that are merged into the final working schedule. Stages define a time when they are "open" for learners to rank the stage's options in order of preference.

Working Schedule (Lottery)

Each lottery has its own working copy of a rotation schedule which is populated through the execution of stages.
